REFUND & BILLING POLICIES:

SUMMER DAY CAMP

A deposit of $35 per child per camp week may be required at the time of registration. This deposit is refundable until May 1st. After May 1st, camp deposits conditionally refundable upon the camper space being backfilled.

SUMMER DAY CAMP MANDATORY AUTOMATIC BILLING

Payment of the remaining balance for each summer camp week is due 60 days prior to the start of that week. If you have not paid in full by the due date, the credit or debit card on file will automatically be charged the remaining balance.

SUMMER DAY CAMP CANCELLATIONS MADE BEFORE AUTO BILLING

Cancellations must be made in writing or you must receive a confirmation email after speaking to a Apex Customer Service Representative by the end of business, on Thursday, one full week prior to the start of the week you wish to cancel (10 days out). If you do not submit your cancellation request by this time, your card on file will be charged for the remaining camp week tuition and you will not be eligible for a refund in any amount.

If you have already paid in full for a camp week and cancel by end of business on Thursday one full week prior to your session starting (10 days out), you will receive a refund for your money paid, less your $100 deposit.

Deposits paid toward canceled weeks of camp cannot be applied to an existing week of camp or any previously registered week of camp, regardless of current status.

Registrations are unique and tied to a specific individual. Registrations may not be transferred to another individual.

SUMMER DAY CAMP CANCELLATIONS MADE (AFTER) AUTO BILLING

Cancellations must be made in writing by end of business on Thursday one full week prior to the start of the week you wish to cancel (10 days out) or receive a confirmation email after speaking to a Apex Customer Service Representative. If you do not submit your cancellation request by this time, you will not be eligible for a refund in any amount.

 

TRANSFERS MADE BEFORE AUTO BILLING

Transfers from one session to another may take place without penalty to any new camp week(s) of your choosing. Subject to availability, your deposit for one week of camp can be transferred to an additional (new) week of camp. Transfer requests must be made at least 10 days prior to the beginning of a session.

LATE REGISTRATION ADMINISTRATION FEE

Any day camp registrations added after online registration closes will incur a $15 administrative fee. Online registration closes at midnight on Thursday before each camp week starts.

 

CANCELLATION REQUESTS FOR ALL Apex PROGRAMS

Cancellation requests must be submitted to our office in writing via email or you must receive a confirmation email after speaking to a Apex Customer Service Representative. Not attending the program for any reason does not entitle you to a refund. When you register your child, you are reserving space, time, and staffing whether or not your child attends the program.

MEDICAL AUTHORIZATION AND PERMISSION TO TREAT

I hereby grant to Apex ATX LLC permission to take whatever action in its judgment may be necessary in supplying emergency medical services to the named child(ren). I understand that, consistent with the circumstances of the situation and available time, Apex ATX LLC will make every effort to contact and follow the instructions of the parent or legal guardian, physician, or other person designated by me. In the event Apex ATX LLC is unable to contact the parent or guardian, physician, or other persons listed, I hereby agree that I will be solely responsible for and will pay promptly any expenses which may be incurred by Apex ATX LLC in making emergency medical treatment to the named child(ren).

LIABILITY WAIVER AND RELEASE

I am giving my child(ren) my permission to participate in the described supervised, organized activity sponsored by Apex ATX LLC I understand and am aware that such activity involves a risk of injury from my child(ren)’s participation in the said activity and that I am voluntarily giving permission to participate in this activity. I hereby agree to expressly assume and accept any and all risk of injury from my child(ren)’s participation in this activity. I do hereby and forever discharge, release, indemnify, and hold harmless Apex ATX LLC and the hosting locations and their employees, the Association, Board of Directors, officers, agents and managing parties for and on behalf of myself and my minor child(ren) and our respective heirs, successors and assigns from any and all liability, rights of action, causes of action, losses, claims, demands, cost and expenses for damages and/or personal injury that may arise in conjunction with my

child(ren)’s participation in this activity. I also recognize that because Apex Adventure Camp is open for use by other individuals, I recognize that my child and I are at higher risk of contracting COVID-19. I do hereby and forever discharge, release, indemnify, and hold harmless Apex ATX LLC and the hosting locations and their employees, the Association, Board of Directors, officers, agents and managing parties for and on behalf of myself and my minor child(ren) and our respective heirs, successors and assigns from any and all liability, rights of action, causes of action, losses, claims, demands, cost and expenses for damages and/or sickness due to

Covid-19 that may arise in conjunction with my child(ren)’s participation in this activity

PHOTO RELEASE

I understand that photographs, video and/or digital images (hereinafter images), may be taken of my participation or my minor’s participation in various activities while at camp. I understand that no names or personal contact information will accompany any images. I understand that these images may be used in slideshows, website photo albums, video yearbooks, and other

promotional materials and/or publications. I acknowledge below that I do consent to such images of my likeness or my minors likeness being taken and do not request compensation for the use of my likeness or my minors likeness.

 

I grant Apex and host sites the absolute right to copyright, re-use, publish and republish by any medium, including electronically, any photos included that may be taken while participating in a Apex event unless otherwise notified in writing. I also understand and accept all the information and conditions explained on the Apex Website and in the Apex Brochure.

TEXT AUTHORIZATION

 

I authorize Apex to send me text messages regarding Apex programs. Texting will be limited and may include notices on weather alerts and important dates. I understand that messaging and data rates may apply. I understand that I may opt-out of receiving text messages from Apex at any time by texting STOP to unsubscribe or by contacting our office in writing.
